Creating A Maitenance Spreadsheet

I want to create a maintenance spreadsheet in excel, so I can start keeping track of all of the maintenance I have done, and when the next interval will be due. I have had my 4runner for a few weeks now, with 98k mi on it, and have no maintenance records on it, so I will be starting from scratch.

Can anyone point me in the direction of some good resources for what maintenance needs to be done, and at what interval. I can share the spreadsheet with everyone once it is done!

I use the Toyota Owners Website

Its great for keeping track of the work you've done. Create an account, it's free. Doesn't matter if you service your vehicle at a dealer or not. You can manually add your records and if you decide to have your 4R serviced at the dealer, your profile automatically be updated, I think.

EDIT: On that same website, you will find all of the recommended services and suggested intervals for maintaining your 4R. Go here for FSM.

I just have a 4 column spreadsheet going back to '99. Date/Miles/Work/Receipt. The last is a one bit Y/N field to show whether a receipt is in the folder. I don't keep fluid and filter receipts once I am out of warranty; I have a stock of both and it would be meaningless. Plus things like MAF cleanings and brake bleedings don't generate receipts.

I don't track to intervals for groups of items because I don't do everything at once. After 10 years, gear oil and coolant may both be at 30K intervals, but those are now 10k apart for one reason or another. So I just look at the record and figure out what needs to be done next and I do it when I can. Oil and tire rotation I pay close attention to. The rest is plus or minus 5K so I can do it in nice weather. I make a list in the Spring and try to finish it by Fall.
 
I seperated my work log into 3 sections:
1) Stuff that I did/stuff I need to do according to mileage (in order of soonest to perform).
2) Stuff I have done because it broke/wore out (A-Z).
3) Little stuff to do whenever I get a chance (like replacing my door light triggers).
 
I am in the same boat, just got mine with 96k on it and not sure of some of the maintenence. The oil and plugs are fine, however I am replacing the differential fluids and transfer case asap. I also plan to change the transmission fluid when able along with a MAF cleaning, I here that can make a big difference. I figure anything that is reasonable to do I want to go ahead and do it.

I tried that split between 1 & 2 on previous cars but I gave up. When something breaks, I end up doing as much needed maintenance as I can in the vicinity. Frozen e-brake bellcrank leads to clean, lube and adjust rear brakes (yikes, they need it and drum is off), flush brake fluid (oo--it was icky) and rotate tires (well, two are off). I applaud your intent but I am too disorganized to do it that way.

I try to keep it organized, but it doesn't always work out like that. I will also usually try to take care of everything in an area even if it's not necessarily time to do each item yet - I think that is wise and probably saves a lot of effort in the long run.

I'll also adjust some of the mileage intervals so I can bang out several items in one shot. Like if I'm due to change my oil at 180K, rotate my tires at 182K and grease my driveline at 179K, I'll just do all 3 at 181K or something. I just make sure that nothing is going too far past the recommended interval.
 
If you have office '07 then try this. I use it for my fiancee's car and my runner. There are a lot of templates on the Microsoft Office site so I would suggest you search there before creating your own. I like the fact that you can have different worksheets for each vehicle in Excel, otherwise I would just create a table in Word.
 
at 100k id start thinking about the timing belt and water pump sure you could let it go a little longer but not too long
 
clean the MAF
water pump
timing belt
thermostat
pcv valve
lube chassis
retorque driveshaft bolts
air filter
drive belts
spark plugs (every 30,000)
diff fluids changed
trans flush or fluid change (auto - manual)
ps fluid flush
fuel filter
steering rack bushings
check your brakes for wear

Look, I believe in preventative maintenance as well but seriously......spreadsheets????:wow2::wow:
 
lifetime powertrain warranty...they give it for free because only 1 in 1000 will follow thru , keep the vehicle forever, and do and document the required maintenance..."I AM THAT ONE " !
